ExecAide · AI Knowledge Systems

When your best people leave — does their knowledge leave with them?

ExecAide helps mid-sized companies capture scattered knowledge, make it AI-ready locally or in a dedicated environment, and use it for employees, service and future AI applications — with sources, not guesses.

The real problem

The documents stay. The person who understood them sometimes doesn’t.

Critical knowledge sits in technical PDFs, scans, Office files, emails, customer edge cases — and in the heads of individual employees.

Knowledge leaves with people

When an experienced employee leaves or retires, the context, shortcuts and edge-case judgment usually leave too — the files stay behind, unused.

Documents are fragmented

PDFs, scans, spreadsheets and email threads sit in different systems, versions and formats — searchable only by whoever already knows where to look.

Automatic does not mean confidential

Convenient AI tools often mean documents leave the building. Confidentiality has to be a deliberate architecture decision, not a default.

AI Knowledge Assessment

Find out which knowledge is critical — and which pilot creates value first.

We map data sources, knowledge risks and prioritized use cases before a company invests in a large AI platform.

Sources & risks

Make documents, repositories, processes and knowledge holders visible — including gaps, versions and critical single-person dependencies.

Prioritize use cases

Internal assistant, service, onboarding, phonebot or quotation preparation: ranked by value, effort and risk.

Target & 90 days

A concrete pilot scope, data path, architecture and next steps instead of an abstract AI strategy.

Knowledge Foundation

From scattered documents to an evidence-based knowledge foundation.

ExecAide combines local or dedicated document processing with structure, search, sources and controlled AI applications.

1

Capture documents

PDFs, scans, Office files, tables and other approved sources are ingested.

2

OCR & structure

Layout, tables, facts, metadata and versions are prepared traceably.

3

Evidence & search

Answers stay linked to document, page, evidence and review status.

4

Controlled applications

Assistants, service and phonebots or quotation drafts operate within approval boundaries.

Applications

One knowledge foundation. Several next steps.

Internal knowledge assistant

Multilingual answers for onboarding, engineering and daily work — with sources instead of unsupported claims.

Service & phonebot

Approved product and process knowledge for customer service and internal handovers.

Quotation preparation

Find previous offers and technical foundations, extract requirements and prepare drafts — with human approval.

Knowledge Lab · proof

Do not just talk about it. Watch a real document get processed.

Video 1 is a real local test with a technical document: upload, OCR, extracted facts, questions against the document, and an audit trail. Video is evidence of the implementation — not the core product.

Data & control

Fully automated does not automatically mean confidential.

Many AI offers promise fully automated processes. The more important question often comes first: where are your documents actually processed — in the cloud, by a US or Chinese provider, or in an infrastructure whose data path is barely visible? ExecAide makes this an architecture decision: local, dedicated, European-hosted or hybrid — matched to sensitivity, sources and approval boundaries.

Automation is not a data-protection concept. We review sources, access and processing paths before a pilot begins.

Knowledge pilots

Start with one concrete knowledge domain.

A focused pilot is usually the safer first step than a large platform project. Scope, sources, success criteria and operating model are agreed before implementation.

Assessment

Map knowledge risks, sources and the most useful first use case.

  • sources and access paths
  • critical knowledge and gaps
  • prioritized use cases
  • pilot recommendation

Knowledge Foundation Pilot

Process one selected knowledge domain with real documents and questions.

  • OCR and document structure
  • search, evidence and review status
  • local or dedicated model path
  • measured pilot outcome

AI Application Layer

Connect approved knowledge to a controlled internal or service workflow.

  • assistant, service or phonebot
  • quotation preparation
  • human approval boundaries
  • next-step roadmap
